Coastal Explorer USA Cancellation & Rescheduling Policy
Coastal Explorer USA strives to provide safe, enjoyable, and educational coastal experiences. Because our programs take place outdoors in dynamic natural environments, clear cancellation guidelines help ensure safety, fairness, and smooth operations for all participants.
1. Guest‑Initiated Cancellations
Individual & Family Bookings
- Cancellations made 24 hours or more before the scheduled program will receive a full refund.
- Cancellations made 6 hours before the program will receive a 50% refund.
- Cancellations made within 6 hours of the program are non‑refundable.
School Groups & Large Groups (10+ participants)
- Cancellations made 48 hours or more before the scheduled program will receive a full refund.
- Cancellations made 24 hours before the program will receive a 50% refund.
- Cancellations made within 24 hours of the program are non‑refundable, as staffing and scheduling have already been secured.
2. Weather, Ocean Conditions & Safety Cancellations
The safety of our participants is our highest priority. Coastal Explorer USA continuously monitors weather, surf, tide, and trail conditions. We may cancel or modify a program if conditions are unsafe, including:
- High surf or dangerous tides (if applicable)
- Lightning or severe weather
- Hazardous trail or headland conditions
- Beach or trail closures or restricted access
If Coastal Explorer USA cancels due to unsafe conditions:
- Participants will receive a full refund or the option to reschedule at no additional cost.
- We will notify participants as early as possible, typically the evening before or morning of the program.
3. Program Modifications
To ensure safety, Coastal Explorer USA reserves the right to adjust the itinerary, including:
- Changing the route
- Shortening the program
- Avoiding certain tidepools or trails
- Relocating to a safer nearby coastal area
Modifications due to safety do not qualify for refunds unless the entire program is canceled.
4. Participation Requirements & Removal
For the safety of all guests, Coastal Explorer USA may deny or discontinue participation if a guest:
- Is unable to safely complete the activity
- Is not wearing required footwear or clothing
- Appears to be under the influence of alcohol, cannabis, or drugs
- Exhibits unsafe behavior or refuses to follow guide instructions
- Displays emotional or physical distress that may compromise safety
If a guest is removed or denied participation for these reasons, no refund will be issued.
5. Late Arrivals
Programs begin promptly at the scheduled time. We consider arriving 15-minutes or more after the agreed upon start time as a “Late Arrival”. Late arrivals may miss portions of the program or be unable to join the group once the safety briefing has concluded. Refunds or “pro-rating” is not provided for late arrivals.
6. Minimum Enrollment
Coastal Explorer USA may cancel or reschedule programs that do not meet minimum enrollment requirements. Guests will receive a full refund or the option to reschedule.
7. Refund Processing
Refunds are issued to the original payment method and typically appear within 5–10 business days.
